Privacy Policy

1. Who we are

This policy explains what MIVRA collects, how we use it, who handles it, and the choices you have. We do not sell your data, and we use Google user data only to provide MIVRA's features to you.

MIVRA is operated by MIVRA LLC, a company registered in Colorado, United States ("MIVRA", "we", "us"). Our website is mivra.io. MIVRA is an AI tool for freelancers and consultants. It joins client meetings you choose, records and transcribes them, and turns them into structured notes, scope creep alerts and a Revenue Impact Score.

2. Information we collect

Information you give us

• Account details: your name and email address, and your phone number if you provide it.
• Messages you send us, and your waitlist or support requests.

Information from accounts you connect

• If you connect Google Calendar, we receive event details as described in section 3: titles, times, meeting links, and the names and email addresses of attendees.
• If you connect Zoom, Microsoft Teams or Google Meet, we receive the meeting links and times needed to join your meetings.

Meeting content

• Recordings and transcripts of meetings you ask MIVRA to join, and the notes, decisions, tasks, scope alerts and scores generated from them.

Payment information

• Payments are handled by our payment provider, Paddle. We receive limited details such as your plan, billing country and payment status. We do not store full card numbers.

Usage and device information

• Pages viewed, features used, browser and device type, IP address and log data, collected through cookies and similar technologies.

3. Google user data

This section applies if you connect your Google account to MIVRA.

What we access. With your permission, MIVRA requests access to view and edit your Google Calendar events, using this scope: https://www.googleapis.com/auth/calendar.events. We access event titles, times, meeting links, and the names and email addresses of attendees. We create, edit or delete an event only when you do so in MIVRA. We do not request access to your Gmail, Google Drive or Google Contacts.

Why we access it. To show your upcoming meetings in MIVRA, to send the MIVRA notetaker to meetings that have a Google Meet, Zoom or Teams link, to keep meetings you create, edit or delete in MIVRA in sync with your Google Calendar, and to show each meeting's notes with that meeting.

How we handle it. We store event details in our database and keep them only as long as needed for these features. We do not sell it, we do not use it for advertising, and we share it only with service providers that process it for us (section 5) or where the law requires.

Human access. Our team does not read your Google user data unless you ask us to for support, it is needed to investigate security or abuse, or the law requires it. Any other internal use is on aggregated and anonymized data.

AI models. We do not use Google user data to develop, improve or train generalized AI or machine learning models.

Limited Use. MIVRA's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Revoking access and deleting data. You can disconnect Google at any time at myaccount.google.com/permissions or with one click on the Meetings page in MIVRA. When you disconnect or delete your account, we delete the Google user data we hold within 30 days.

4. How we use information

We use the information we collect to:

• Provide MIVRA: join your meetings, record and transcribe them, generate notes, scope creep alerts and Revenue Impact Scores, and build your client history.
• Run your account: sign you in, bill you, and answer support requests.
• Keep the service safe: fix bugs, prevent fraud and abuse, and protect our users.
• Contact you about your account, and send product updates or marketing where you have agreed. You can opt out at any time.
• Meet legal obligations.

We use your meeting content only to provide your own features, including your client history. We do not sell it, and we do not use it to train generalized AI models.

5. Service providers and AI processing

We use these providers to run MIVRA. They process data on our behalf and only to provide their service.

We will update this table if we add or change a provider that handles your data.

6. Recording and meeting participants

The MIVRA notetaker joins meetings on your connected calendar that have a Google Meet, Zoom or Teams link, when the meeting starts. It joins as a visible participant and cannot enter until the meeting host admits it. If the host rejects it, MIVRA receives no meeting content. Before a meeting starts, you can cancel the notetaker for that meeting.

You are responsible for telling the other people in your meetings that they are being recorded, and for getting any consent the law requires where you and they are located. Some places require every participant to agree. Do not use MIVRA in meetings where recording is not allowed.

If you were a participant in someone else's meeting and want your data removed, contact us at support@mivra.io and we will work with the account holder to delete it.

7. Retention, deletion and security

How long we keep data

• Recordings: 30 days after the meeting.
• Transcripts, notes and scores: until you delete them or close your account.
• Account details: while your account is active.
• Billing records: as long as tax and accounting law requires.
• Backups: removed within 30 days of deletion.

Deleting your data. You can delete meetings or your whole account in the app, or email support@mivra.io. We complete deletion within 30 days.

Security. We protect data in transit with HTTPS/TLS, and stored data is held on password-protected systems. Access to your data is limited to the people who need it to run and support MIVRA. No system is perfectly secure. If a breach affects your data, we will tell you as the law requires.

8. Sharing and international transfers

We do not sell your personal information, and we do not share it for advertising. We share it only with:

• The service providers listed in section 5.
• People you choose to share your content with.
• Authorities, where the law requires it or to protect rights and safety.
• A buyer or successor, if MIVRA is involved in a merger, acquisition or sale. They must honor this policy.

MIVRA LLC is based in the United States. Our servers are in the United States and part of our team works in Pakistan, so your data may be processed outside the country where you live. Where the law requires, we use appropriate safeguards for transfers from the EEA, the UK and Switzerland.

9. Your rights and choices

Depending on where you live, including under the EU and UK GDPR and California law, you may have the right to:

• Access the personal information we hold about you and get a copy.
• Correct it, or delete it.
• Object to or restrict some uses, and withdraw consent you gave us.
• Opt out of marketing emails at any time.

To use these rights, email support@mivra.io. We may need to verify your identity, and we aim to reply within 30 days. If you are in the EEA or the UK, you can also complain to your local data protection authority.

You can revoke MIVRA's access to your Google account at any time at myaccount.google.com/permissions. You can control cookies in your browser settings, though some features may stop working.

10. Children, changes and contact

Children. MIVRA is for professionals aged 18 and over. We do not knowingly collect personal information from anyone under 18. If you think a child has given us information, contact us and we will delete it.

Changes. We may update this policy. We will post the new version here with a new effective date, and tell you by email or in the app before any material change takes effect.
